In order to process your booking and to ensure that your wedding arrangements run smoothly and meet your requirements we need to use the information you provide (such as name, address, any special needs/dietary requirements etc.). Some of your information (such as religion or health) may be considered 'sensitive personal data' under the Data Protection Act 1998, We take full responsibility for ensuring that proper security measures are in place to protect your information.

We must pass the information on to the relevant suppliers of your wedding arrangements such as hotels, registrar office, wedding reception venue, transport companies etc. The information may also be provided to public authorities such as customs/immigration if required by them, or as required by law. What documents are needed to get married in Rhodes Greece? How many days do you need to be in Greece before getting married? Where can I get married in Rhodes Lindos, Kalithea, Faliraki, St Apostoloi, St Sofia, Fillerimos Cros?

Please find detailed below your Rhodes Wedding Legal Requirements.

These requirements are laid down by the Greek authorities to enable you to have your marriage in Greece.

Once you have collected the required documents we will arrange all your translations and submit your documents to the relevant office on your behalf.

We will also after the ceremony takes care of collecting the marriage certificate applying for its Apostille stamp and translating and posting the certificate to you.

All documents must be originals OR certified copies and all must be legalized by an Apostille Stamp*

• Full A4 Birth Certificate (The long version)– For both parties. If you were born outside the United Kingdom you must receive your original birth certificate and Apostille Stamp from the country you were born in.

• Certificate of Non-Impediment (freedom to marry)– this document confirms you are free to marry, and is available from your local registrar and can take up to 3 weeks to be issued. Please note this must not be issued more than three months before your wedding day. You must inform your local registrar of the address of your ceremony location, which we will advise you at the time of booking. This document is also non-returnable – For both parties

Tip-count exactly 3 months back to your wedding date, that is the date you should have your appointment at your registry office to obtain the Non -Impediment ie your wedding is 6th June your appointment should be 6 March the document takes approximately three weeks which gives you than the three weeks overlap for the paper to still be valid and allows you to get all your paperwork done earlier. Call your registry office as soon as you book to make your appointment.

• If you are divorced – a Decree Absolute signed by notary or solicitor

• If you have been adopted – Adoption Certificate

• If you are widowed – Spouse’s Death Certificate and previous Marriage Certificate

• If you have changed your name other than by marriage – Deed Poll Certificate or Statutory Declaration signed by notary or solicitor.

  (Please note this also includes divorcees who have reverted back to their maiden name).

• If you are under 18 – Statutory declaration of consent of parent or guardian signed and stamped by a solicitor.

• Passport – We also require photocopies of inside and the identity information page, from both parties. Apostille Stamp isn’t required.

*What is an Apostille Stamp?

An Apostille Stamp legalizes your documents and confirms they are true copies, which is necessary for the legalization procedure to take place in Greece.

All documents will be held in the local registrar office in Rhodes and are non-returnable.

Rhodes Wedding Services Terms and Conditions

-Introduction

These terms and conditions below are the terms between you, the customer and us “Rhodes Wedding Services,” the company and the website owner.  By using this website, any services contained within it, and booking your wedding with us, means you give the full acceptance of these terms and conditions in full.  If you do not accept these terms and conditions, please do not use this website or book your wedding with us.

As your wedding is just as important to us as it is to you, we have below, detailed a step by step guide on what happens during the months that build-up to your special day

 

-Booking Your Wedding

After your initial enquiry and upon your request we will book the wedding date for you at the relevant town hall. You will be asked to fill out and sign our booking form and agree to the Terms and Conditions on this page. Once received you will then be sent a deposit invoice.

Please note: When booking a wedding package via Rhodes Wedding Services you are also agreeing to use all of our suppliers. As a wedding company, we cannot accept you booking suppliers outside of our company as we cannot guarantee the quality of services you will receive and be responsible for any issues that may occur on your wedding day.

 

-This deposit is non -refundable.

A deposit of 20% is required to book your wedding venue date, time and chosen wedding package. All payments for the wedding package you chose are non-refundable.

 

-Wedding Planner

Over the next few months, our wedding planner will work closely with you building the wedding of your dreams. We will provide you with a clear wedding planner with all services booked and prices. This planner will also have your arrival and departure dates, contact numbers and accommodation details. Due to many weddings now taking place on Rhodes it is a good idea to book your additional services as quickly as possible.

 

-Final Wedding Package Payments

The final payment is due 6 weeks prior to your arrival, the due date of this payment will be on your wedding planner, you can of course pay in full earlier if you wish too. The final payments are non-refundable.

 

-Consultation Meetings

Once we have received your final payment and your wedding planner is complete we will give you your consultation time and meeting point. At this meeting it is required that you bring along a copy of your planner and any table plans etc. you may wish to give us.

 

-If we change your booking

Bookings are made many months or even years in advance.  It is most unlikely that we will make any changes to your confirmed booking, but on very rare occasions we may have to do do so.  Most changes are very minor and out of our control, and we will advise you immediately of any that are implemented.  We reserve the right to do this at any time, without any obligations.

If you cancel your booking

Should you wish to cancel your booking, or the booking is cancelled by us due to non-payment of your final balance payment, then we shall be entitled to retain the full monies paid.

 

-If the town hall change your booking


The local town hall and registrar have the right to change your wedding venue, date or time - at any time.  This happens in extreme circumstances; however, we must make you aware and also advise you that “Rhodes Wedding Services ” cannot be held responsible for these impositions.  
In Greece, the local Greek Orthodox priests have priority use over the Greek Orthodox chapels, and if there is a request for a Greek Orthodox wedding or baptism, we have to respect their wishes and move our wedding accordingly.  
In the exceptional circumstances that this were to happen, we would re-schedule your wedding venue, date or time to an alternatively convenient venue, date or time as soon as we were notified by the local town hall.
“Rhodes Wedding Services ” is respectful of the local priests and their religious obligations to the people of Rhodes.

'Please note' we do not give a time length for this meeting we will stay as long as it takes until you are completely happy and confident about all your wedding plans. We will use as many of our wedding team as we feel is required to ensure your day runs smoothly at no additional charges. We will have planners at the reception venues decorating and checking everything is ready for your arrival. The main wedding planner will contact the bride on the morning of the wedding to confirm all times and final arrangements. The ceremony location will also be checked that everything is ready for your arrival. A member of our wedding team will stay with you until you are seated at the reception venue.

 

-Changes to our supplier's prices once booked

Most of our wedding optional extras do not require payment until your arrival in resort.  The suppliers quote their prices at least one year in advance and rarely do they implement any further increases after quotation within the year of your wedding.  As you pay for your wedding optional extras when in the resort, you are obliged to pay the fees applicable at that time.  Most increases are very minor, and we will advise you immediately of any that are implemented.  The suppliers reserve the right to do this at any time, without any obligations.

 

-Cancellation of a supplier once booked

If you wish to cancel one of our supplier’s services before the 28th of February of the wedding year, no charges will be made.  If you wish to cancel one of our supplier’s services within 8 weeks of your wedding date, a 50% cancellation charge will apply.  If you cancel one of our supplier’s services within 2 weeks of your wedding date, 100% cancellation charge will apply.

 

-Cancellation by a supplier

“Rhodes Wedding Services ” have handpicked the most reputable, efficient and professional suppliers on the island of Rhodes.  If in the very rare circumstance any supplier booked became unavailable or cancels due to unforeseen circumstances, we will endeavour to find you an alternative; if an alternative is unavailable we will reimburse you all the monies paid for that service cancelled.

 

-Reception venues

Most of our reception venues do not require payment until your arrival in resort.  Some reception venues do ask for a deposit in advance for your booking.  If this deposit is requested, we will advise you accordingly and it will be paid to the reception venue directly.  The reception venue quotes their prices at least one year in advance.  As you pay your final balance to your reception venue when in the resort, you are obliged to pay the fees applicable at that time.  Rarely do the reception venues implement any further increases, however, if they do, they are very minor, and we will advise you immediately of any that are implemented.  The reception venues reserve the right to do this at any time, without any obligations.

You must be aware, that the laws in Greece state that music cannot be played after midnight at the reception venues.  Some hotel reception venues implement an earlier time, due to the resident guests.  Please see the relevant reception venue pages for detailed information.

 

-Legal documents

“Rhodes Wedding Services,” will email you a step by step guide to your legal documentation requirements needed to marry in Rhodes.  It is extremely important you follow our step by step guide.  It is your responsibility to check your documents thoroughly and you must ensure you forward the hard copies of your legal documents to “Rhodes Wedding Services,” to arrive no later than six weeks prior to your wedding day, and we recommend you send them by registered post.  It is extremely important that you submit your legal papers on time to prevent any serious complications occurring.  The paperwork is your responsibility and the legal documentation required must be strictly followed.  If you fail to send the required paperwork, you will be responsible for any additional fee’s incurred or in extreme circumstances your wedding being cancelled and payments being forfeited.

 

-Force majeure

We regret we cannot accept liability, give refunds, or pay compensation where the performance of our obligations under our contract with you - is prevented or affected by you or you suffer any damage, loss or expense of any nature as a result of; 'force majeure.'

In these terms and conditions ‘force majeure’ means any event which “Rhodes Weddings Services” or the supplier of the service in question could not - even with all due care, foresee or avoid. Such events may include actual or threatened war, riot, civil strife, terrorist activity (actual or threatened) and its consequences; industrial dispute, general strikes, natural or nuclear disaster, adverse weather conditions of any kind, fire, technical problems to transport, closure or congestion of airports, and all similar events outside of the control of “Rhodes Wedding Services.”

 

-Our responsibility to you

We accept full responsibility for the proper performance of our obligations under our agreement with you for the booking of our wedding packages and services.  If you or any member of your wedding party suffers any damage caused by our failure to perform, or our improper performance, we accept liability, except in the following circumstances – If the failure or improper performance is your fault or the fault of any member of your party or of someone else not directly employed by “Rhodes Wedding Services.”

 

-Attendance

In the unlikely event of the assigned Wedding Co-ordinator/Owner being unable to attend your wedding due to unforeseen circumstances, we reserve the right to appoint another Wedding Co-ordinator to attend your wedding on our behalf, to undertake the wedding coordination to their best ability.

 

-Ceremonies

All ceremonies are conducted in Greek and English and two witnesses are required which must be the minimum age of 13.

 

-The signing of the Registry

At some venues, you will be asked approximately two days after the wedding day to collect and sign for your marriage certificate. This usually takes no longer than ten minutes and you will be escorted by one of our wedding planners. At present, it is only weddings in Lindos and weddings at Filerimos who request this.

 

-Photography

All photos, albums, and videos will be delivered to you before your departure. In the event that you are leaving the island the day after your wedding, there is a possibility we may have to post to you by courier,

 

-Behaviour

If the behaviour of you or the wedding party is deemed likely to cause offence, danger, damage or distress, “Rhodes Wedding Services” and its staff, reserve the right to cancel or terminate the wedding and/or the reception.

Our responsibility will cease and we will not be obligated to cover any expenses incurred by you or the party concerned, and neither will we consider claims or refunds for any compensation.

 

-Complaints procedure

If you have a problem or complaint, please bring it to the attention of a member of staff at “Rhodes Wedding Services” immediately, as we will endeavour to rectify the problem immediately.  If your problem or complaint cannot be resolved you must ask a member of the “Rhodes Wedding Services” staff to give you written confirmation that the complaint has been lodged.   If you then wish to put this complaint in writing, we must receive your written complaint within 21 days from the day of the lodged complaint.  If you fail to follow this procedure, we will not be able to take responsibility as we have been deprived of the opportunity to investigate and rectify the complaint situation.

 

-Data protection

All data received by “Rhodes Wedding Services,” is given to employees and relevant suppliers of your wedding arrangements.  We will not pass any of your personal information to any third parties not involved in your wedding.

Publication accuracy

The content within these website pages was correct at the time of going to press, but it is subject to change without notice.  The statements and information contained within this website are correct to the best of our knowledge.  Either we or any third parties provide any warranty or guarantee as to the accuracy, timeliness, performance, completeness or suitability of the information and materials found or offered on this website for any particular purpose. 1st Stage

Following your initial enquiry, our Uk wedding planner will contact you regarding your wedding plans. Once you are ready to proceed with your booking, you will be emailed a quotation and a deposit invoice.

 

2nd Stage

Upon receipt of your deposit into our bank account (deposits are non-refundable), we will then email you with your deposit receipt confirming your deposit has been received, your wedding Planner including your package details, and a step by step guide to your legal requirements.

 

3rd Stage

If you would like a face to face consultation (optional), we can offer two options. If you are planning to come out to Rhodes before your wedding date, we can meet with you in resort for your consultation. Alternatively, we can organise our internet webcam consultation (you will require a webcam on your computer for this option, and a program that runs a free webcam chat service, for example, Skype).

These consultations will be arranged between four to nine months prior to your wedding date by appointment only. These face to face consultations will last however long they need to be, but typically, between one to two hours. This method of communication gives you the chance to discuss your wedding in great depth, in a private, relaxed location, at a time convenient to yourself, without the need to travel to a separate UK location.


4th Stage

All your wedding 'optional extras' need to be emailed to us by the 28th March in the year of your wedding. We make sure your specific requests are then booked with all the suppliers prior to your wedding date. This is to ensure all your wedding wishes are catered for exactly. Our venues and service suppliers are very accommodating, yet due to demand many services are booked well in advance, and therefore may not be able to accommodate any last-minute requests.

 

5th Stage

You will need to make your appointment with your local registrar office for 3 months prior to your wedding date to obtain your 'Non-Impediments' paperwork. This is a legally required document for a wedding in Rhodes. Please book your appointment in advance as the local registrar's office can be busy. For example, if your wedding is for the 1st of July, your appointment should be for the 1st of April

. You may need to book the appointment around the 1s oFebruary.

Once you are in receipt of the 'Non-Impediments' paperwork, you must then scan them with all the other relevant legal documents required to the "Rhodes Wedding Services" for checking. Then you must post them to the FCO (Foreign Commonwealth Office), to obtain the 'Apostille' stamps. Once your documents are returned back to you with the 'Apostille' stamps, you must post them immediately to our Rhodes office.

 

6th Stage

Your final payment is required six weeks before your wedding date. Once this payment is received, we will send you a final invoice receipt. We will also confirm your resort consultation date, time and venue. Typically your consultation will be within the first three days of your arrival to Rhodes and will be conducted at your reception venue. 

 

Arrival In Rhodes

As previously arranged, you will have your full consultation within the first days of your arrival to Rhodes.

The company owner will meet with you at your selected reception venue. This gives you the opportunity to view your reception venue, meet the manager and the staff and sample the wine!

At the consultation we will confirm your wedding day itinerary, your booked 'optional extras,' and we will discuss any last-minute details or answer any questions you may have.

This meeting will take approximately two hours.

At the end of this meeting, you will be given a local mobile phone, with a direct line contact to the company owner, just in case you have any further questions over the next days leading up to the wedding day itself.

 

The Wedding Day

The wedding planner will make a call to the bride or groom in the morning to check if there are any last-minute questions or requests.

The wedding planner will then call all of the suppliers to re-confirm the optional extra arrangements booked and the reception venue will be dressed according to your requirements.

We have two of the "Rhodes Wedding Services" team on hand with the Bride & Groom for the wedding day ceremony. The exception is for the 'Vow renewal' & 'Symbolic ceremony,' where there will be one representative.

One of the "Rhodes Wedding Services" team will be with the bride at her accommodation prior to her leaving, making sure she is ready, and helping her into the arranged transportation. (Not applicable for a 'vow renewal' or 'Symbolic ceremony,' or where the accommodation is outside of a 10km radius. One of the "Rhodes Wedding Services" team would meet the bride at the ceremony location.)

Another member of the "Rhodes Wedding Services" team will be waiting at the ceremony location for the arrival of the groom and your wedding guests. She will greet everyone, introduce the groom to the photographer (if booked), the registrar and also co-ordinate everyone into the ceremony grounds.

The "Rhodes Wedding Services" team will then liaise with each other to confirm that the bride can leave her accommodation and make her way to the ceremony. There will then be a "Rhodes Wedding Services" team member with the bride at the ceremony location, she will introduce the bride to the photographer (if booked). Once the "Rhodes Wedding Services" team have spoken with each other and gained confirmation to proceed, the bride will then make her way into the ceremony grounds, escorted by one of the "Rhodes Wedding Services" team members.

If you have booked ceremony music, the bride can also be escorted into the ceremony grounds with the musician playing.

 

The Wedding

The ceremony grounds have been booked for your service for either 30 or 45 minutes. This is a civil ceremony and it is read in Greek and in English and the service will last approximately 10 minutes. (Except for religious ceremonies.) Many couples also choose to read their own personal vows to each other during the ceremony. Couples can also ask one of their wedding guests to read a poem, a passage from the Bible, a reading, or they may even have a guest who wishes to sing.

The registrar will be happy for you to tailor the service however you choose, and we will discuss the requirements prior to your wedding day, so the ceremony flows perfectly to your wishes. After the formal service conducted by the registrar, we will then conduct the signing of the register/papers. You will require two witnesses; they may be required to show their passports, (minimum age of 13 years old).

You will then have time for all of your family, group and more relaxed bride & groom photographs.

If you have booked ceremony music, your musician will play again whilst you are signing the register, whilst your photographs are being taken and when you leave the ceremony grounds.

You will be escorted to another area for your relaxed photoshoot with our photographer (if booked), whilst guests can make their way to the transportation (if booked), or onward destination.

One of the "Rhodes Wedding Services" team will escort your guests to their transportation or walk with them to the reception venue, (whichever is applicable). If you have booked a boat cruise as transportation, one of the "Rhodes Wedding Services" team can accompany you and your wedding guests on the boat cruise (at the captain's discretion), if places allow.

At your reception venue, you will have either one or two of the "Rhodes Wedding Services" team on hand, (depending on the package you have booked). Your team will be available throughout the welcome drinks, the co-ordination for the seating of your guests and up to the pre-dinner cake cutting.


After the Wedding Day
Weddings in the Lindos area are required to go to the Lindos town hall in the days following the wedding day itself to collect copies of the official Greek wedding certificate. The town hall is open Monday - Friday. You are required to attend between the hours of 10.00 am - 12.00 pm, and you must both take your passports along with you.

If you require a "Rhodes Wedding Services" team member to accompany you to the town hall (included within some packages), you can request this at your consultation.

Should you wish us to translate your wedding certificate into English, one of the "Rhodes Wedding Services" team will take one of the Greek wedding certificates from you at the final meeting. Weddings in the Faliraki/Kallithea/Rhodes Town areas will receive copies of the Official Greek wedding certificates to your UK address within 2-4 weeks.

 

Photography

All photos, albums, and videos will be delivered to you before your departure. In the event that you are leaving the island the day after your wedding,there is a possibility we may have to post to you by courier,


Translated Marriage Certificate
If you have booked our translation service, then your English translated marriage certificate will be posted to your home address by recorded delivery within 2-4 weeks.
